Welcome to KV online

Read the following simple steps carefully and you will have no problem logging on!

Click on the "Become a New Member" Link (in the login box above)

1. Screen 1 - Enter your details as requested - The Password field MUST be unique!! The "Date of Birth" field must be completed as YYYY-MM-DD. The database will not accept any other format. Your Email Address must be current and Active. Do not list "novelty" email address - tournament entries depend on this being functional! If you submit and the page goes blank then Click the back arrow on your browser. If this happens DON'T PANIC It means your password is identical to someone else's - simply re-enter your details with a more unique password!!
2. Screen 2 - will be the user name & password check - re enter & click submit - if you make an error the boxes will go blank - try again! remember DON'T PANIC This screen is to check that all your details have been entered correctly!
3. Screen 3 - you will be asked to select your current grade and the organisation you belong to - if you do not train, perhaps a parent or interested browser - Select 10th Kyu as your option. For organisation scroll down, with many browsers it is necessary to use the arrow keys on your Keyboard. If you cannot easily find your organisation select "Other" and then Click "Submit Karate Details"
4. Screen 4 - This is a required screen for all members. If you are under 18, fillout details and click "Click to Complete Membership". This relates to parents of Underage competitors. If you are over 18 years then simply click "Click to Complete Membership".
5. Your KVID number will appear
6. Close the Screen and Log on Your Personal Home page will appear.

Congratulations you have Successfully Completed Stage 1

At this stage you have successfully linked all the database tables that we need to have functioning in order to offer you ALL the services that we are going to provide to yourself your, instructor/students, and your organisation.

You Still have more to do but DON'T PANIC all the hard work is now completed!!

Now Check the "Home Page" section to really understand the benefits of this site

WHAT IS GOING TO HAPPEN NEXT?

When you decide to enter an event as Competitor or Referee etc., we are going to need more specific details than we have already. So far you have linked the database tables which is great, now we need you to complete your Personnel File, Your Karate File, and Your Parents File (for under 18's).

The Good News is that you will only have to do it once. You can enter the next 100 tournaments and all your details will be prelisted and pre-entered. As details change (new email or promotion from Green Belt to Brown Belt, etc.,) you will be able to alter and amend your details easily

Your Home Page

Every KV member has his or her own personal page.

It is from here that you will be able to enter tournaments, attend seminars/meetings, in fact enter all events run for the benefit of KV members

But first you will need to update all your details and upload your favorite photo.

To Begin

1. Click on Update Your Karate Details - here you will check all your Karate Credentials - Current Grade, Coaching Qualifications, and Judge and Referee Status. Select your Qualifications and Click "Update".
2. Click on Update Your Personal Details - you will need to include all your details (Weight, Height etc) to be able to access most entry forms for the events you need to participate in. Again enter all details and Click "Update".
3. Finally Click on upload your Photo. Click the "Browse" button (internet explorer) or "Choose File" button (firefox/safari). Select from your computer your preferred Photo - MUST be a Jpeg file and a small size. If it is too big the web page will not load it. Click "Upload". This photo will be used for your competitors/coaches/referees lanyard at tournaments and seminars so we do suggest a passport style photo!! You will automatically be returned to your Home Page - REFRESH your screen - PC (CTRL & R) Mac (Cmd & R) and here it is !!

Okay lets explore the page

Firstly this Page is different for everyone

• Your home page is unique to you. What you will see if as a coach, Head of style or competitor is different for each member.
• For competitors your results for all events that the KV website run will automatically be updated.

The Standard page will have in the left column all events that KV is currently hosting. The event and deadline for entry are listed. If you are interested in any event simply click on the event in column one and all details regarding this event will become available.

The next column is where you will enter the event. The event is again listed and advice is given as to whether entry to this event is "ONLINE" or "PDF".

• If the entry is online you will be advised that entry is available or the date entry will be available online
• If entry is PDF you will be advised if the Organiser has uploaded the PDF file yet for download

Special Help Notes -

For Individual Entries

From your home page begin by clicking in the Tournament Entry Column on the event of your Choice

Online

If Your Tournament is listed as "Online" you will be advised of the date Online Entry Commences. You will not be able to enter before that date (of course)
If entry is available you will see "Enter Online Now" Click to commence the process.

Screen 1 Lists all Details of the Selected Event
Screen 2 Choose from all events that you qualify for - ALL Events that you are eligible to enter at your current Age, Weight, Grade Level, are listed. Select the Events that you wish to enter.
Screen 3 Confirm your selections, check carefully and either modify or Confirm. To Confirm Tick the Check box. If relevant advise of pre-existing allergies/injuries.

WARNING once you "Confirm your Entry" you MUST complete all of the following screens.

Screen 4 Legal Disclaimer MUST be Completed by Overage Competitor or Parent of Underage Competitor
Screen 5 Advises you of the cost of your selections. By clicking "Endorse" you are completing a legally binding agreement accepting the cost of the tournament entry.
Screen 6 The Print Sign Pay and Post page.

1. Indicate how you wish to pay - Cheque, Money Order or Direct Deposit
2. Click Complete - (This emails a copy of this page directly to Tourcom and Yourself)
3. Print this Page - From this Page (or from the email you sent yourself if you are not currently attached to a printer)
4. Sign this Page - As an Over 18 Competitor or Parent of Underage Competitor
5. Immediately Post this Page.

Return to your Members Page. Refresh the screen. Where you previously clicked to enter you should instead see "Check Your Entry". All events you have been entered into for this event will now be listed. Also you should see a listing of your entry status. e.g. Entry Rec'd, Disclaimer Completed, Entry Endorsed, Awaiting Payment, and finally Completed.

PDF

Your Home Page will indicate whether or not the "Independant" tournament organiser has uploaded the PDF file.

If So click on the PDF "now available" for traditional paper entry.

- Special Help Notes -

For Team Entries

• Team Entries must be entered by a Team Coach or Manager who is a Member of KVonline – i.e. that is must have a KVID number
• If the Tournament is hosting Team Events the Entry Link will be found IN RED in the "Listing of All Events Column" - "Team Manager to Enter" Click on this Link to Continue

Screen 1 Lists all Details of the Selected Event and provides Team Event Options - Select your division and click the Register Button
Screen 2 Enter a "Name" for your team and list the competitors name, date of birth and Gender for each Member. Teams will be 3 member teams unless listed as otherwise. Click on "Enter Team" to Continue
Screen 3 Will advise you of your team number and which Division you have successfully been entered into. Check the Details and Click "Endorse" to continue
Screen 4 is " The Print Sign Pay and Post" page.

1. Indicate how you wish to pay - Cheque, Money Order or Direct Deposit - for this entry.
2. An email of this page is automatically generated and forwarded to you
3. Print this Page - From this Page (or from the email you sent yourself if you are not currently attached to a printer)
4. Sign the Printed Page - As an Over 18 Competitor or Parent of Underage Competitor
5. Choose to Enter another team and repeat the above process, or return to your home page.
6. Accumulate your team entries pages and
7. Immediately Post this Page to the listed organiser.

Return to your Members Page. Heads of Style will be able to access immediately details of Teams and Team Members entered

PDF

Your Home Page will indicate whether or not the "Independant" tournament organiser has uploaded the PDF file.

If So click on the PDF "now available" for traditional paper entry.

- Special Help Notes -

For Coaches Registration -

All attending coaches who wish to register online must be KVonline Members i.e. you must have a KVID number

In addition Coaches Must be NCAS accredited and have indicated so in the "update your Karate Details" link on the Members Home Page

If all of the above is correct and completed The link to register for an event will be found in the "Coaches" column of your Home Page

If the tournament is a local or regional tournament the link will appear as "Email Organiser" where you will have the option to advise either your apologies for not attending or advice that you will in fact attend. Simply Click "Register" and the email will automatically be sent to the Organiser. - Very Straigtforward.

If the tournament is a KV or AKF event Coaches will be required to register in more detail

As above the link for Registration will be found in the "Coaches" Column. This link will read "Register with Organiser" Click to Continue

• Screen 1 - Advises you of General Details Regarding the event and Registration. Reminds you that a photo will be required (Unless you have your photo Uploaded on your Members Home Page - we will automatically use this photo) Click "Register" to continue
• Screen 2 - Complete the Coaches Disclaimer Click " Submit" to continue
• Screen 3 - Advises of Fee (if relevant) Click "Endorse" to continue
• Screen 4 - Automatically forwards advice to organiser and NCAS Officials for recording of your attendance and participation. PRINT, SIGN, PAY and POST - immediately. Your coaches Lanyard is then prepared for printing

Return to your homepage and your Coaches Column should now indicate that you have registered for this event
